SETUP AI Book a diagnosis

Keep the intake moving. Keep the privilege intact.

Prospective clients call, email and fill out forms. Someone retypes the details, runs the conflict check and chases the engagement letter. Setup AI helps small firms make that path explicit and put the right tools under it.

Book a diagnosis Faster intake. Privilege intact.

The short answer

For a small firm, the first useful AI project is usually administrative: structure an intake, summarize a long inquiry for the attorney who reviews it, or flag a matter still waiting on a signed engagement letter. Legal judgment, advice and anything privileged stay with your attorneys and your approved systems.

For managing partners and office managers at small and mid-sized firms whose practice-management system holds more than the team actually uses.

  1. Map the intake

Follow one real inquiry from first contact to signed engagement. Note where details are retyped, who runs the conflict check, and where a prospect waits without an answer.

  2. Use what you already pay for

Check what your practice-management, document and e-signature products already do before recommending another subscription or a custom build.

  3. Keep attorneys in the loop

Nothing goes to a prospect or client without a person approving it. Agree on review steps, exceptions and who owns the workflow after launch.

Illustrative

Example: the web inquiry that waits a week

A prospective client fills out the website form late on a Friday. An intake record is created with the agreed fields, a short summary is prepared for the reviewing attorney, and a conflict-check task is assigned to a named person. Nothing goes back to the prospect until someone approves it. This is a proposed workflow, not a reported law-firm result.

Bring to the call

  • One anonymized inquiry that took too long to answer
  • Your practice-management, document and e-signature tools
  • Your firm's rules on confidentiality and AI use

How we'd measure it

Compare time from inquiry to first response, inquiries without an assigned reviewer, and engagement letters awaiting signature, on the same workflow before and after.

Limits

We don't give legal advice or decide what is privileged. Any AI tool that touches client information needs your firm's approval, an appropriate vendor agreement, and settings that keep data out of model training. Your professional-conduct obligations stay yours; we design around them.

Questions

Will client information go into ChatGPT?

Not by default. We start by mapping which data a workflow needs and which tools your firm has approved. Where AI helps, we use business-grade tools with data controls your firm signs off on, or we leave AI out of that step.

Do we need new practice-management software?

Usually not. We check what your current system already does and what access your plan allows. A configured workflow inside a product you already pay for is often enough.

Have you done this for a Minneapolis firm?

We are describing a proposed application, not claiming a law-firm result. Our published implementation example is Twin Cities Startup Week; you can review that work before deciding whether to talk.
